TEMPORARY - ADMINISTRATIVE ASSOCIATE (AAI)

The Administrative Assistant (AAI) must have strong organizational and communication skills, a high level of initiative, independent judgment, and the ability to prioritize.   An applicant must have the ability to interact effectively with a wide variety of people in a diverse environment, exercising tact and discretion.  Additionally, the AA must be punctual, manage multiple tasks, and effectively meet deadlines.

LEVEL I

      Responsibilities:

  • Reception work, customer service, telephone service, filing, archiving.
  • Email, correspondence, and calendaring.
  • Working with faculty, office staff, students, vendors and events coordinators.

      Qualifications:

  • Excellent verbal and written communication skills.
  • Proficient use of MS Office 2003 and 2007; PC or Mac platforms.
  • Experience working at Stanford University or in an academic setting preferred.
  • Familiarity with Stanford systems, policies and procedures is desirable.
  • Minimum of 1 to 2 years of job-related experience, and a two-year college degree or equivalent required.

TEMPORARY - ADMINISTRATIVE ASSOCIATE (AAII)

  • Proficient use of MS Office 2003 and 2007; PC or Mac platforms; hands on experience with Stanford Oracle and/or PeopleSoft.
  • Experience working at Stanford University, or in an academic setting. 
  • Familiarity with Stanford systems, policies and procedures is desirable.
  • Minimum of 3-5 years of job-related experience, and a two-year college degree or equivalent required.  Certification desirable.

 

TEMPORARY - ADMINISTRATIVE ASSOCIATE (AAIII)

      Qualifications:

  • Excellent verbal and written communication skills, editing and data analysis skills are required. 
  • Expertise in MS Office 2003 and 2007; hands on experience with Stanford Oracle and/or PeopleSoft 9; PC or Mac platforms.  Internet sophistication.
  • Experience and familiarity working at Stanford University and with Stanford systems, policies and procedures is required.
  • Minimum of 5 years of job-related experience, and a two-year college degree or equivalent required.  Certification, credentials, and/or four-year degree highly desirable.

 

TEMPORARY - DESKTOP SUPPORT TECHNICIAN

Job Title: Desktop Support Technician

In this key temporary role, you will utilize your technical knowledge of computer hardware and software to act as the technical expert and support for all desktop users within the department.  The most successful candidates are self-motivated and adaptable, strong team players who know how to work hard and to also have fun. They must be willing and eager to take on new challenges in this dynamic and constantly changing environment.

Summary:

The Desktop Support Technician reports to a Technical Manager.  This position has responsibility for supporting desktop computing for 250 users.   The purpose of this position is to serve as the technical expert regarding support for all aspects of desktop computers and associated peripheral hardware and software.  This position will also work closely with staff in partner units across Stanford such as ITSS, and AS to ensure that all customer requests are addressed in a timely manner, and that the high level of customer satisfaction is maintained.

Job Responsibilities:

User Support (85%)

  • Respond in a timely and effective manner to HELP requests from all divisional clients (phone calls, email requests, help desk tickets, in person requests);
  • Provide in person and remote support to clients that emphasizes a high level of customer satisfaction and excellent communication;
  • Troubleshoot reported hardware and software problems, and contact manufacturers to find and install replacement parts under warranty;
  • Base decisions on established policies, standards, procedures, and practices, exercising sound judgment in determining when to escalate problems to other experts for timely and effective resolution;
  • Advise users on ordering standard replacement / new hardware and software, resolving purchasing issues, and with vendor interaction as needed;
  • Install and configure standard software on desktop computers and peripherals, and research, recommend, and implement solutions for customers to meet individual business needs;
  • Provide input to, support, and promote an evolving standard of desktop hardware platforms (e.g., Windows 2000, Windows XP, MacOS) and software tools (e.g., email, calendar, office tools, etc.);
  • Use BigFix to monitor and manage hardware & software environments;
  • Ensure that equipment and software configurations are compatible with University architectural standards;
  • Establish and maintain successful, accurate, and up-to-date hardware and software inventory, identifying when hardware and software licenses need to be upgraded, replaced, and/or replenished;
  • Stay current with University information system and desktop standards and initiatives;
  • Stay current with evolving and emerging technologies that affect clients;
  • Work independently or as part of a team if needed to resolve customer problems; be available “on-call” to resolve problems after normal business hours and on weekends, as needed.

Administrative Support (15%)

     •  Document all work performed in an online request tracking tool;

     •  Work effectively in a team and collaborative environment;

     •  Attend meetings and handle other tasks as requested;

     •  Communicate effectively to professional colleagues and clients

Qualifications/Education:

Demonstrated technical expertise in support of operating systems and other software is required; experience with MacOS and in support of enterprise applications is highly desirable.

Must have ability to learn new systems and teach others how to use desktop computer applications as well as how to use the University network.

Excellent communication and customer service skills are required.

Must have ability to maintain effective working relationships and negotiate priorities, and to work independently and as part of a team.  Ability to work under pressure on multiple tasks, completing them accurately and in a timely manner.

Must be able to lift 40 lbs.

Four-year college degree, and 2-3 years of experience, or equivalent combination of education and experience is required.

TEMPORARY -HUMAN RESOURCES SPECIALIST (HRS)

The Human Resources Specialist (HRS) must prize communication, have strong organizational skills, a high level of initiative, independent judgment, and the ability to prioritize.   The incumbent must have the ability to successfully interact with a wide variety of people in a diverse environment, exercising forethought, diplomacy and discretion.  The successful candidate will have the character to pay precise attention to detail, and also the patience to guide others to notice precise details.  Additionally, the HRS must work well within time constraints, manage multiple tasks, and effectively meet deadlines.

Responsibilities and Qualifications:

  • Proven track record of 2-3 years working in a service-oriented, team environment.
  • Demonstrated ability to prioritize and simultaneously coordinate multiple duties, often with competing deadlines, and frequent interruptions.
  • Strong systems application proficiency in MS Excel, Word, PowerPoint, databases, email, and the Internet.
  • Familiarity with Stanford University systems such as PeopleSoft, Kronos, Oracle Financials, ReportMart1 and Trovix preferred; background with HR spreadsheets, budgets, metrics, audits.
  • Initiate personnel actions: posting, hiring, promotions, reclassifications, and terminations.
  • Prior work experience in human resources, customer-service training or related environment; higher education a plus.
  • Bachelor’s degree preferred.

 

TEMPORARY - FINANCIAL SPECIALIST (FS I-III)

The Finance Specialist (FS) must have strong organizational and communication skills, a high level of initiative, independent judgment, and the ability to prioritize.   The incumbent must have the ability to interact effectively with a wide variety of people in a diverse environment, exercising tact and discretion.  The successful candidate will have the character to pay precise attention to detail.  Additionally, the FS must be punctual, manage multiple tasks, and effectively meet deadlines.

Responsibilities:

The Finance Specialist (FS) provides financial administration, analysis, and oversight to the University.  It is expected that the FS has comprehensive knowledge of the theories, principles, and practices of finance in more than one of the following areas: accounting, economics, information systems, business communication, and quantitative methods.

Assignments are frequently given on a project basis, and may include review and evaluation of financial transactions, reconciliations, expenditure review, accurateness and any adjustments.   Placement levels are differentiated on the basis of knowledge and experience, as well as the range of activities and level of independence position requires.  Experience at Stanford or in an academic setting is a plus, as is understanding and experience interpreting regulations.

The Ability to work on Mac or PC platforms is important.   MS Office proficiency is a must.  Electronic spreadsheet data entry and maintenance is essential.   Synthesis and analysis could be required of the FS.  The FS may interact with other University entities, such as the Office of Sponsored Research, Fund Accounting, Gift Processing to resolve problems, so a high level of professionalism is to be maintained.  The Specialist may be called upon to provide information and participate in preparation of department's annual budget process, fiscal year end, and audits.

Qualifications:

LEVEL I

Finance Specialist Level I: A general knowledge of basic accounting, statistical procedures and financial data interpretation is required.  This knowledge requires a minimum of a bachelor’s degree with a major in accounting, business administration, economics, statistics, or an equivalent combination of education and experience.

LEVEL II

Finance Specialist Level II: Work will require an in-depth understanding of principles and theories.  This level of knowledge is typically associated with attainment of a master’s degree in Business Administration or a related field, and several years of work experience or an equivalent combination of education and work experience.  A working knowledge of applicable University policies, procedures and practices is desirable.

 

LEVEL III

Finance Specialist Level III: In addition to knowledge associated with years of work experience and specialized degrees, such as the M.B.A., and/or certificates, the incumbent will be proficient at synthesizing data, and integrating results of analyses to discover correlations, and conceptual information.   Analytical studies assigned to the FS III may progress from initiation to completion, be broad in scope, including data interpretation, proposal formulation, and actions plans reports.
